Privacy policy

Skoolu is an AI teaching assistant for schools in India, provided by Chethana Solutions ("we"). This policy explains what we collect, why, and the choices you have.
Who is responsible
Schools decide which staff and students use Skoolu and what student information is added. For student and school data, the school is the data fiduciary under India's Digital Personal Data Protection Act, 2023, and we process that data on the school's instructions. For the account data we need to run the service, we are responsible.
What we collect
- Staff accounts: name, work email, role and school. If you sign in with Google or Microsoft, they tell us your name and verified email address. We never receive your Google or Microsoft password, and we only open or create the Google files you pick for Drive import or Save to Google.
- What you create: tool inputs, generated drafts and your edits, uploaded materials, answer-script photos and Assistant conversations.
- Student information added by the school: name, roll number, class, student work, marks, feedback and progress-card entries. In student rooms, each student's conversations are kept for their teacher to review.
- Service records: sign-in and security logs, usage counts and a history of admin actions.
How we use it
Only to provide Skoolu to your school: generating drafts, checking answers, sharing what teachers approve, keeping your school's history, securing accounts and supporting you. We do not sell personal data, show advertising or use your content to train AI models. We do not track, profile or target advertising at children.
AI processing
To generate an output we send only the text or images it needs to an AI model provider (Anthropic, Google or OpenAI). Names on the class list are replaced with codes such as S1 before text reaches a model, contact details are removed, and guardian emails and phone numbers are never sent. Answer-script photos are sent as images, so a name written on a script can reach the model: ask students to write roll numbers instead.
Student chats, student writing, quiz answers and answer-script photos are sent only to Google's AI models in the Mumbai region (asia-south1). If that isn't set up, those features stay switched off, except on demo setups that use made-up students. Until the school's data processing agreement is signed, Skoolu blocks adding students, answer-script uploads, writing feedback and student rooms, unless an admin records that the school is using test students only. On a Skoolu server that isn't set up for India-region AI, they stay blocked even with a signed agreement. Teachers review AI output before it reaches students or parents.
Who we share it with
- Service providers that run Skoolu for us. They process data only to provide their service to us:
- Railway: hosting and database. Our servers and database run in Railway's Singapore region.
- Google: Google sign-in, Drive import and Save to Google Docs, Slides and Forms when your school turns them on, and Gemini AI models. Student work goes only to Gemini in Mumbai.
- Anthropic: Claude AI models for teachers' drafts, with class-list names replaced by codes. Processed outside India.
- OpenAI: pictures and read-aloud audio. Processed outside India.
- Microsoft: staff sign-in, when your school turns it on.
- Brevo (Sendinblue SAS, EU): sends Skoolu's emails: sign-up confirmations, password resets and urgent safety alerts to the class's teachers and safeguarding leads (class, roll number and reason, never the student's name or message).
- Razorpay: Teacher Pro payments. We never see your full card or bank details.
- Skoolu ID, our shared sign-in service for Skoolu apps. We run it ourselves; it holds your name, email, school memberships and sign-in records.
- Apps your school connects, only when your school turns them on and a teacher approves what is shared.
- Authorities, when the law requires it.
Security
Each school's data is kept apart by row-level security in our database, connections use HTTPS, access follows each person's role, and admin actions are logged. No system is perfectly secure, so tell us straight away if you suspect a problem.
Keeping and deleting data
We keep data while your school uses Skoolu. When a school leaves, we delete or return its data as agreed with the school. Staff, students and parents can ask their school to access, correct or delete their information, and the school can ask us to help.
Contact
Signed-in staff and students can send questions or requests through the support form in the help centre. Anyone else can use the contact form on our home page and choose "Other" as their role, or ask their school's Skoolu contact. If you are not satisfied with our reply, you can complain to the Data Protection Board of India.
